Privacy notice

This notice explains how Aitec Engineering Limpopo (Pty) Ltd handles personal information, and what this website does and does not collect. It is written in plain language and describes the website as it actually behaves.

1. Who we are

This website is published by Aitec Engineering Limpopo (Pty) Ltd, company registration 2014/114196/07, trading as Aitec. We are a mechanical and electrical contractor for institutional and industrial plant rooms.

For anything in this notice, contact us at info@aitec.co.za or on 072 881 3984.

2. What this notice covers

It covers this website and the personal information people send us when they contact us about our work. It does not cover any other company's website that we link to.

3. What this website collects automatically

Nothing. This website is a set of static pages. It uses no cookies, no local or session storage, no analytics, no advertising or marketing trackers, no embedded third-party content, and no contact form. It loads no files from any other company's servers. We do not profile visitors and we cannot identify you from visiting these pages.

The one piece of code the site runs is a small script that opens and closes the menu on small screens. It stores nothing and sends nothing anywhere.

Like any website, these pages are delivered to you by a hosting service. Hosting services normally keep short-term technical records, such as the address a request came from, in order to serve pages and protect against abuse. Those records are kept by the hosting service rather than created by this website, and we do not use them to identify or track individual visitors.

4. Information you choose to send us

We ask people to contact us by email or telephone. Whatever you include in that correspondence is information you have chosen to send. Depending on what you are asking about, it may include:

  • your name, telephone number and email address;
  • your organisation and the kind of facility it is;
  • the town and province where the work is;
  • details of the plant or equipment — type, make and model, duty, operating pressure and temperature, material, and what has failed;
  • the scope, specification, drawing or timeframe you need;
  • procurement information such as an order, quotation request, tender or reference number, and what a supplier file still needs.

You decide how much of this to send. Please do not send us personal information that is not needed for the enquiry.

5. Why we use it

  • to answer your enquiry and advise on the work;
  • to prepare and issue a quotation, tender response or supplier file;
  • to carry out, record and support work you instruct;
  • to keep ordinary business, accounting and tax records;
  • to meet obligations the law places on us as a contractor and as a company.

We do not sell personal information, and we do not use it for advertising or automated decision-making.

6. Who it may be shared with

We share personal information only where there is a reason to: with the people in our own business who need it to do the work; with the suppliers, subcontractors or professionals a particular job genuinely requires; with the providers of ordinary business services we use, such as email and hosting; and where the law, a court or a regulator requires it, or where it is needed to establish or defend a legal claim.

7. How long we keep it

We keep personal information only for as long as there is a reason to — to deal with the enquiry or the work, to keep the business, accounting and tax records the law requires, and to deal with any dispute or claim that may arise. When there is no longer a reason to keep it, we delete it or stop using it.

8. Security

We take reasonable steps to protect the personal information in our care, including limiting who has access to it. This website holds no database, no accounts, no logins and no payment details, so there is nothing of that kind to be taken from it. No method of sending information over the internet is completely secure, and email in particular is not — please think about that before sending anything sensitive by email.

9. Processing outside South Africa

Some ordinary business services, such as email and website hosting, may store or process information on servers outside South Africa. Where that happens we expect the provider to protect the information to a standard comparable to South African law.

10. Your rights

Under the Protection of Personal Information Act, 2013 (POPIA) you may, subject to the conditions and exceptions in the Act, ask us:

  • whether we hold personal information about you, and ask for a copy;
  • to correct or complete information that is wrong or out of date;
  • to delete information we no longer have a reason to keep;
  • to stop using information for a particular purpose, where you have grounds to object.

These rights are not absolute: the Act sets conditions, and some information must be kept to meet other legal obligations. To make a request, write to us at info@aitec.co.za and tell us what you are asking for. We may need to confirm who you are before we act.

If you are not satisfied with how we have handled a privacy matter, you can also lodge a complaint with the Information Regulator (South Africa). The Regulator explains how to do that, and operates its own process for POPIA complaints, on its website: inforegulator.org.za/complaints.

11. Cookies and browser storage

This website currently sets no cookies and stores nothing in your browser. Our cookie notice explains the position in full.

12. Links to other websites

Where this website links to another organisation, that organisation's own privacy practices apply. We are not responsible for them.

13. Children

This website is aimed at businesses and public institutions. It is not directed at children and we do not knowingly collect personal information from them.

14. Changes

If we add anything to this website that collects information — a form, analytics, an embedded map or video, or any other tracking technology — we will update this notice, and put any consent mechanism the law requires in place, before switching it on.

15. Who to contact

Privacy questions and requests: info@aitec.co.za, or 072 881 3984.
